Give each colleague their own sign-in, decide what each role may do, and see who did what in the activity log.
The video plays from YouTube when you click it.
Step by step
- Open Users from the Users & access group in the menu.
- Click + Add User. The Create User form opens.
- Pick the person under Employee, or leave it as Not linked and type their First Name, Last Name and Email.
- Type a starting Password and choose a Role. DociToci does not email the password, so give it to the person yourself.
- Type a Storage quota (GB) if the person needs a limit of their own, or leave it empty.
- Click Create User. The person appears in the list and can sign in.
- Click Reset password next to someone who is locked out, then Reset password in the box. Give them the new password yourself; they choose their own at their next sign-in.
- Open Roles and click Permissions next to a role to see what it allows.
- Open Activity log to see who did what, and when. Use the search box or the Action and Entity lists to narrow it down.
Good to know
- During the free trial a company can have up to 5 users. Under Edit, setting a leaver's Status to Inactive frees their seat and keeps their history.
- A storage quota counts everything the person adds: uploaded documents, and the emails, attachments and files their connections sync. All quotas together cannot be more than the company's storage.
- Only the owner can give someone the Administrator role. Administrators can do everything else except make administrators, transfer ownership or change the owner's account.
- The ready-made roles cannot be changed. For different rights, click Add role on the Roles page, then use Permissions to tick what the new role allows and click Save Permissions.
